  • All data entered, uploaded, or otherwise provided by the customer while using eCMS (“Customer Data”) remains the sole property of the customer.
  • eCMS does not claim ownership over Customer Data and will access or process it only for the purpose of delivering and supporting services, or as required by applicable law.
  • Customers retain full rights to access, update, export, and delete their data at any time, subject to the terms of the service agreement.
  • Upon termination of the service, the customer may request a complete export of their data in a standard format. Data will be securely deleted once no longer required for service provision or legal compliance.
  • Customer Data may include:
    • User credentials (when not managed through SSO)
    • Contact details
    • Case data and related metadata
    • Uploaded documents and attachments
    • Activity and audit logs
  • eCMS implements industry-standard safeguards to ensure Customer Data is never sold, shared, or used for any purpose other than service delivery and improvement.

Data Security

We implement robust security controls to safeguard information, including but not limited to:

  • Encryption in transit and at rest
  • Role-based access controls
  • Secure hosting environments within Microsoft Azure
  • Regular security monitoring, auditing, and compliance alignment with applicable standards

Use of Information

Collected data is used exclusively for:

  • Delivering and maintaining eCMS services
  • Providing customer support and troubleshooting
  • Improving functionality and user experience
  • Meeting legal or regulatory requirements

User Rights

Users have the right to:

  • View and access their personal information
  • Correct inaccuracies in their data
  • Request deletion of personal information, subject to legal or operational limitations

Requests may be submitted through the administrative contact or support channels provided within the system.

Data Retention

  • Data is retained only as long as necessary to provide services, meet compliance standards, or satisfy contractual or archival requirements.
  • Retention periods, deletion schedules, and archival practices may be configured to align with agency or industry policies.

Third-Party Integrations

When applicable, eCMS may integrate with organizational systems such as Single Sign-On (SSO) or document repositories. In such cases:

  • eCMS does not store or manage SSO credentials directly.
  • Access is governed by the customer’s organizational policies.

Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated via the application interface or other relevant channels. Continued use of eCMS after changes indicates acceptance of the revised policy.
